Oral Presentation Guidelines

Presentation length and time keeping

  • Please refer to the Program for the confirmed length of your presentation.
  • As a courtesy to other speakers in your session and to ensure the Program runs to time, please keep your presentation to your allocated time. Your Session Chair will provide time alerts and direct the questions.
  • Please go to your allocated room 15 minutes before the session start time to meet with the Session Chair and familiarise yourself with the room and the Audio Visual.

Session Format & Questions

  • Each session at the Congress may have a different format.
  • Please refer to the latest version of the Program, for information on whether a Question & Answer session is included in your session. If no question and answer period is allocated within your session, you may like to allow for audience questions at the end of your presentation, noting that this will be included in your total presentation time.

Presentation Format and slide ratio

  • Your presentation should be saved as Microsoft office PowerPoint file. If you have created your presentation using Apple Keynote, you will need to save your file as a PowerPoint file.
  • The slide ratio for your presentation should be set to 16:9.

  • A WMC 2023 PowerPoint slide can be downloaded and used, if you would like. This is not mandatory. To download the template click here.

Loading your presentation PowerPoint

  • A Speakers' Preparation Room will be located in room M10 at the Brisbane Convention & Exhibition Centre.
  • Speakers should report to the Speakers' Preparation Room at least three hours before their scheduled presentation, or at the preceding catering break.
  • If you are presenting in the first session of a morning, please try to load your presentation in the afternoon of the day before.
  • Speakers are to bring their presentation on a USB with the file name including their first and last name.
  • If you have any video files in your presentation, please have these files saved separately on your USB.
  • The Speakers' Preparation Room (M10) will be open at the below times:
    Monday 26 June 2023 16:00 – 18:00
    Tuesday 27 June 2023 07:00 – 18:00
    Wednesday 28 June 2023 07:00 – 18:00
    Thursday 29 June 2023 07:00 – 16:30

Audio Visual Inclusions

  • The below audio visual will be provided in all session rooms:
    • Data/video projector with sound
    • A computer (PC) to which your presentation will be hyperlinked (once submitted to Speakers Preparation)
    • Screen
    • Lectern and microphone
    • Panel table and chairs at the front of the room
    • Hand held microphone for question & answer

Posters Presentation Guidelines

Digital Posters

  • All accepted digital poster presenters will have received access details to log into the WMC 2023 Poster portal. These access details were sent from wmc2023@paperlessevents.com.au
  • Poster presentations will be delivered in digital form, however you are also highly encouraged to bring a physical poster to the Congress to maximise poster exposure. See physical poster guidelines below.
  • The digital poster presenter portal is where you will find specifications, guidelines, FAQ’s, example posters and templates.
  • There are three digital poster templates available to choose from. Use of one of these templates is mandatory.
  • Digital posters are required to be submitted via the digital poster presenter portal by Monday 19th June 2023 17:00 AEST.
  • Digital posters will be available for all registered Congress delegates to view, during and after the Congress via the digital posters website.
  • During the Congress, the digital poster screens, when not being used for rapid-fire presentations, are available for delegates to search and view posters.
  • Congress delegates can contact poster presenters should they wish to discuss the poster, or have questions.

Physical Paper Posters

In addition to the above digital version, poster presenters are strongly encouraged to also prepare a paper poster that will be displayed continuously over the three days of the Congress.

You are encouraged to watch the YouTube video to help you to be creative in developing your poster.

Prizes will be awarded for the Paper Posters that the Congress delegates vote to be the best.

Printing your poster

There are two options for printing your poster.

  1. Submit your poster digitally to the secretariat via email at posters@wmc2023.org.
    Your poster will be printed and available for collection when you arrive at the Congress in Brisbane.
  2. Print your own poster and bring with you to the Congress.

Display your physical poster at the Congress

  • Poster Area – Posters will be on display outside the concurrent session rooms within the Brisbane Convention & Exhibition Centre. Your poster will be allocated a board in the foyer outside the concurrent session room that matches the Congress Stream your poster is accepted within. Please refer to the latest Program information email from the secretariat to identify your Congress Stream. Please see a list of Congress stream room & poster locations below:

  • Poster identification – A poster board will be allocated to each poster. Please look for the poster board with your poster number on it. Your acceptance letter will state the poster board location and your unique poster board number.
  • Poster hanging times – Posters can be hung on your allocated board from 08:00 on Tuesday 27 June 2023.
  • Poster dismantle times – All posters need to be removed by 16:15 on Thursday 29 June 2023. If your poster has not been removed by this time, it will be removed and discarded by the Secretariat.
  • Mechanism for poster hanging - If you have printed your poster on card, please bring a supply of Velcro to attach your poster to the display board.
  • Physical Poster viewing sessions – Physical Posters will be on display for the duration of the Congress. Delegates are free to view your poster at any time.

Rapid Fire Poster Presentations

  • Each poster presenter is expected to deliver a five minute rapid-fire presentation that has been allocated to the session below;
    • Tuesday 27 June 2023 between 17:30 – 19:00
  • Each Congress Stream has been allocated a digital poster presentation screen, which will be located in the WMC 2023 Exhibition. To find the time and location of your rapid-fire presentation please refer to the poster information email from the Congress Secretariat. If you are unsure of your rapid fire timing and location, please email program@wmc2023.org
  • Please arrive at your rapid-fire presentation screen 15 minutes prior to the start of the session; you are allocated in, to meet with your chairperson.
  • The chairperson will keep the session to time, and will advise once your 5-minute presentation time is almost over.
  • As a courtesy to other poster presenters in your session and to ensure the Program runs to time, please keep your rapid-fire presentation to no longer than five minutes.

Presenter FAQ’s

All presenters are required to be registered to attend WMC 2023. Registration can be completed via the online registration link.

Yes, fully registered delegates will have access to attend all Congress sessions.

Yes, a ticket to the Welcome Reception & Congress Dinner is included with a full registration. RSVP is required via the online registration form.

Yes, you are welcome to bring and use your own laptop for presentation, however please note that only a standard HDMI connection will be provided on the lectern. If you have an Apple Mac, you will need to bring your own connection cord or adapter. We suggest that you visit the Speakers' Preparation Room at least three hours prior to your session with your laptop to test.

No, please take a copy of the presentation on USB to the Congress and visit the Speakers’ Preparation Room at least three hours prior to your talk. The technicians available will then load your presentation accordingly and hyperlink to your presentation room. If you are speaking first up in the morning, you can load your presentation with the speaker’s presentation room when you arrive onsite for the day, or the day prior.
